Compare the whole offer.
Not just the price.

A lower headline price can hide delivery charges, a different specification or a payment term that does not work for your business. Use this checklist before choosing a supplier.

The template contains fictional demonstration quotes. Replace them with your supplier data.

01

Check that you are comparing the same requirement

Align quantities, units, materials, dimensions, tolerances, pack sizes and included services. Record whether essential specifications are met. A quotation for 100 units is not directly comparable with one for 150.

02

Calculate the full cost

Include goods, shipping, setup and other charges, then subtract genuine discounts. Treat VAT consistently across all quotes. For imports, establish currency assumptions and any duties or clearance charges before comparing.

03

Confirm delivery rather than assuming it

Ask whether the quoted lead time starts at order, payment or drawing approval. Confirm the delivery destination, whether stock is reserved and how partial deliveries are handled.

04

Check the evidence behind the offer

Review relevant certificates, specifications and supplier documentation. Confirm that evidence applies to the actual product and supplier. A rating or comparison score is not proof of technical suitability.

05

Compare commercial terms

Record deposit requirements, payment deadlines, quotation expiry, warranty scope, returns and exclusions. A longer warranty is useful only if its coverage matches your application.

06

Set priorities before choosing a winner

Decide which requirements are mandatory and which are preferences. In DealMesh, adjust the comparison weights and review the eligibility gates and missing information. A high score should never override a failed essential requirement.

07

Record and approve the decision

Keep the original quotations and supporting evidence. Document why the selected offer fits the requirement, resolve outstanding questions and approve the final order separately.
